What does GuardFlow cost?
Four fixed packages, all shown on this page: Starter (£79 a month for up to 20 staff and 10 client sites, no setup fee), Small Company (£495 one-time setup, then £199 a month), Medium Company (£1,495 setup, then £249 a month) and Enterprise (priced to your operation). Prices exclude VAT. Managers, HR, finance and admin users are free and unlimited on every package. If you're not sure which fits, the calculator recommends one from your number of guards and client sites.
What's the difference with Starter?
Starter is the same core platform as Small Company and Medium Company, for firms of up to 20 staff and 10 client sites. There's no setup fee and it runs month to month: you sign up, sign the agreement, pay online and set yourself up with the in-app checklist. Managers, HR, finance and admin users don't count towards the 20 staff. When you need more than 20 staff, move up to Small Company from your Billing page with no setup fee.
Why is there a setup fee?
Small Company and above include a one-time setup covering configuration, data migration, account and staff setup, and go-live support. It is a one-off, not a recurring cost. Starter has no setup fee.
Do I need to be trained to use it?
No. GuardFlow is self-service: you run it yourself from day one. The platform walks you through setup, step-by-step guides are built in, and UK support is included on every plan if you get stuck.
What about keyholding and alarm response?

The core platform (rotas, clock-in, patrols, welfare checks, compliance, payroll and invoicing) runs on every package.
Can pricing be customised?
Yes. Larger operators and bespoke needs (custom terms, offline billing, white-label) are handled on an Enterprise contract. Talk to us and we'll tailor it.
Can I migrate from another system?
Yes. On Small Company and above, migration help is part of your setup: we help you move guards, sites and customers across so you're not starting from a blank slate. On Starter you bring guards, sites and customers across yourself with the CSV import, which previews every row and flags duplicates first.
Can I cancel?
Small Company and Medium Company have a 12 month initial term, then run month to month on one month's notice. Starter is month to month: cancel at the end of any billing period. Your data stays yours: export it as CSV at any time, and for 30 days after you leave.
What happens after the first 12 months?
Small Company and Medium Company simply continue month to month at your agreed rate, on one month's notice. Existing customers keep the pricing they signed on: we never change it automatically, only by mutual agreement.
Where is our data stored?
Production data is hosted in Zurich, Switzerland, which the UK recognises as providing an adequate level of data protection. Each company's data is separated with row-level security on every table, and files are private with short-lived links.
