Refund & Cancellation Policy

This policy explains how subscription fees and one-time fees are handled when you cancel your GuardFlow subscription. It forms part of, and should be read alongside, our Terms & Conditions. GuardFlow is a business-to-business service provided by FORGEAI STUDIO LTD (trading as NovaStack).

1. No free trial

GuardFlow does not offer a free trial. Subscriptions begin once your service agreement is signed and your first payment is taken. Pricing for the monthly subscription and the one-time implementation & onboarding fee is shown clearly before you sign and pay.

2. Subscription fees

Subscription fees are billed in advance for each billing period (monthly unless otherwise agreed). Because access to the platform is provided continuously throughout the period, subscription fees already paid for the current period are non-refundable, except where required by law or where we have agreed otherwise in writing.

3. Implementation & onboarding fee

The one-time implementation & onboarding fee covers platform configuration, data migration, account and staff setup, training and go-live support. Once that work has begun, this fee is non-refundable. Where work has not yet started, contact us and we will deal with your request reasonably.

4. How to cancel

You can cancel at any time after the initial term by managing your subscription from your Billing page, or by contacting support@guardflowapp.com. Cancellation stops future renewals; it does not retroactively refund the current period. Your access continues until the end of the period you have already paid for.

5. After cancellation

Your company's data remains available to you until the end of your paid period. You may export your data before then (see your Reports and account tools). After your account closes, data is retained and then deleted in line with our Privacy Policy and statutory retention requirements.

6. Failed payments

If a renewal payment fails, we will notify you so you can update your payment details. Continued non-payment may lead to suspension of access in accordance with our Terms. Your data is not deleted on suspension.

7. Exceptional refunds

We want you to be satisfied. If you believe your circumstances warrant a refund outside this policy, contact us and we will consider each request fairly and on its merits.
